How to Print Excel to PDF Format

by Hung Nguyen

Two ways to print an Excel spreadsheet to a PDF document, online or offline, at no cost.

The manual method to print an Excel workbook to PDF entails opening the Excel file, print, and save it as a PDF - simple. Otherwise, you can also convert the Excel file to PDF for free using our online converter, without having the file opened. Both methods will be elaborated further below, to help you out.

How to print Excel to PDF from Microsoft Excel :

  1. Open your Excel file.

  2. Click ‘File’ and then ‘Print’.

  3. On the next window, choose ‘PDF’, ‘Save as PDF’.

  4. Adjust the formatting if needed, and click ‘Print’.

Doing so will ‘print’ the Excel file to PDF format, for your viewing pleasure. Once you open the PDF, you may continue to edit and search for the saved content as needed, though individual values will be protected from being altered. Microsoft Office will also ensure that the change in various file formats will not affect the print quality of the file. Therefore, it should look identical to the original data Excel. This feature has around been around, whether you are using Excel 2010, or an older or newer version.

Print Excel to PDF online with ease

Creating PDF files online using our online converter will result in the same output - as we also employ Office’s conversion quality. Publishing online, however, does not require one to have access to the paid version of Microsoft Office. Whatever data you had in the original spreadsheet will be included in the PDF, including the page layout, colors, and other document properties.

What format will the output file be?

The recommended file type is .xlsx, which is the standard Excel workbook. For both methods described, this will be the file type of the output document. On the other hand, if you ‘save as’ a PDF from Excel, there will be a handful of different file formats available, including Comma Separated Values (.csv), Windows Formatted Text (.txt), or Space Delimited Text (.prn) documents. Remember to choose to save if you are opting to print to one of these different file formats.

Can I use your online converter on any device?

Any device - that has a connection to the internet. Smallpdf is an online cloud platform; the website is reachable via any internet browser, on all operating systems: Mac, Windows, or Linux. Furthermore, a mobile-friendly website is available for those to need to print attachments and stored files to PDF format. A mobile app is also in the works, due for release in the coming months (at time of writing).

But that’s not all. You can always head back to our site in case you wish to ‘print’ files back to their original format. PDF documents can be printed to Excel, Word, PPT, and even JPG images. And as for security, we will ensure that materials uploaded to our many converters are removed from our servers, after 60 minutes. The only exception would be for when you share the files to another party or need to edit the document. For instance, if you are filling out a PDF form, we’ll leave it online for you to edit until you decide to download the saved document.
