How does Smallpdf work?

We actually automate the saving process that you would typically carry out using Microsoft Office, aka our digital 'worker' manually carries out this task! Don’t worry, as files uploaded are deleted after one hour of processing. If you want to share the output file with another party, you can share the file via email, or even create a downloadable URL on the result page. Otherwise, no one will have access to your document.

How can I maintain the formatting?

Our software libraries aim to maintain the format of the files converted, as close to its original counterpart. However, there may be cases where the font is not available on our platform. In such cases, we would choose the font that is as close to the original fonts used, as possible.

The best way to fix this would be for you to embed your fonts before converting your file. To do this, you’d have to open the Word doc > Save > Embed fonts in the file. The option to do this should be available on any version of Word, from Microsoft Office Word 2002 to Word 2016, though the wording might have changed slightly over the years. It should also be noted that you may only embed Word files on Windows machines and not Mac.

Another thing to consider is that only licensed fonts can be embedded. Doing so would also somewhat increase the Word file size. Still, this should not be an issue, as we also have a compress PDF tool that you can use to compress its size, once you have saved the Microsoft Word document as a PDF.

Can I revert the change?

Of course, using the PDF to Word tool will change the file back to its original formatting. On top of that, we can also change the file to other file formats as well, such as PPT, Excel, and even JPG images. We cater our set of easy-to-use PDF tools to over 25 million people every month at the moment. Some of the tools include:

  • PDF Converter - convert to and from PDF format, as mentioned.

  • Edit - for annotation and redacting.

  • eSign - create free electronic signatures.

  • Merge - to combine PDF pages.

I guess this is all done online?

Correct! Smallpdf is a cloud service, meaning you upload the Word file to our servers, where we will save it to PDF format in a secured environment. Both the original file and the converted file will not be retained for more than one hour for most tools! If we do keep it for longer, i.e., when you share a file via a URL, we will tell you of this before doing so.

Another perk of sticking with an online service is that our platform is compatible with almost every electronic device out there. Smallpdf.com can be accessed via your favorite internet browser, via your personal computer, mobile phone, or even tablets these days.

Give it a go, follow us on social media, and don’t forget to come back whenever you need to save a Word document as a PDF!
